Tenant Fees

What You’ll Pay

Under the Tenant Fees Act 2019, landlords and letting agents can only charge tenants for specific permitted payments. Estate Culture is fully compliant — here’s exactly what you may be asked to pay.

Holding Deposit

Equivalent to one week’s rent, payable when you apply for a property. This reserves the property while referencing is completed. It is fully refundable if the landlord or agent withdraws, or forms part of your first month’s rent if the tenancy proceeds. It may be retained if you withdraw, fail Right to Rent checks, provide false information, or fail to take reasonable steps to enter the tenancy.

Security Deposit

Capped at five weeks’ rent where the annual rent is below £50,000, or six weeks’ rent where £50,000 or above. Your deposit is protected in a government-approved tenancy deposit scheme (DPS) throughout the tenancy and returned at the end, subject to any agreed deductions.

Permitted Payments During Your Tenancy

All fees are inclusive of VAT where applicable. Estate Culture does not charge any fees prohibited under the Tenant Fees Act 2019, including viewing fees, referencing fees, administration fees, check-out fees, or third-party charges. For full details, visit gov.uk/tenant-fees-act.

Lost Keys or Security Devices

You are liable for the actual cost of replacing lost keys or security devices, including locksmith charges and replacement keys for all parties if locks need changing.

Early Termination

If you request to end your tenancy early, you may be liable for the landlord’s actual loss and the agent’s reasonable costs in remarketing and facilitating a new tenancy.

Rent

Your monthly rent as agreed in the tenancy agreement. Payable monthly in advance on the agreed date.

Late Rent Payment

Interest may be charged on rent outstanding for 14 days or more, at no more than 3% above the Bank of England base rate. This can only apply if stated in your tenancy agreement.

Utilities & Council Tax

You are responsible for council tax, gas, electricity, water and broadband unless your tenancy agreement states otherwise.

Tenancy Changes

If you request a change to your tenancy agreement (e.g. adding or substituting a tenant), a fee of up to £50 may apply, or reasonable costs if higher, evidenced in writing.

Your rent and deposit payments are protected by Client Money Protection insurance, safeguarding your funds while in the care and custody of Estate Culture Limited.

Tenancy Deposit Scheme

All security deposits are registered with a government-approved deposit protection scheme within 30 days of receipt, and you will receive prescribed information confirming this.

What to Expect When Renting With Us

From your first enquiry to collecting your keys — here’s how the process works.

1. Register & Search

Register your requirements with us and we’ll alert you to matching properties by email and SMS. Browse our listings on Rightmove, Zoopla and OnTheMarket.

2. Viewings

All viewings are accompanied by a member of our team. We’ll answer your questions on the spot and give you honest advice about each property.

3. Application & Referencing

Pay a holding deposit (one week’s rent) to reserve the property. We conduct referencing through an independent provider covering employment, credit, and previous landlord checks.

4. Tenancy Agreement

Once approved, we prepare your tenancy agreement and arrange for signing. We’ll explain every clause and answer any questions before you commit.

5. Move In

Pay your security deposit and first month’s rent, collect your keys, and move in. We’ll provide a detailed inventory and schedule of condition.

6. Ongoing Support

For managed properties, we handle maintenance, inspections, and communication with your landlord. For all tenancies, we’re available if you need us.

Under the Tenant Fees Act 2019, we can only charge permitted payments: a holding deposit (one week’s rent), a security deposit (up to five weeks’ rent), your monthly rent, and fees for tenant-requested changes, early termination, or lost keys. We do not charge viewing fees, referencing fees, administration fees, or check-out fees.
The holding deposit is equivalent to one week’s rent. It is fully refundable if the landlord or agent withdraws from the tenancy. If you withdraw, fail Right to Rent checks, provide misleading information, or fail to take reasonable steps to enter the tenancy, the deposit may be retained. If the tenancy proceeds, it forms part of your first month’s rent.
Your security deposit is registered with a government-approved tenancy deposit protection scheme within 30 days of receipt. You’ll receive prescribed information confirming the scheme, how to apply for your deposit at the end of the tenancy, and what to do if there’s a dispute.
If you request early termination, you may be liable for the landlord’s actual loss (such as rent until a new tenant is found) and the agent’s reasonable costs for remarketing the property. We’ll always discuss the options with you before any charges are confirmed.
Interest can only be charged on rent that is more than 14 days overdue. The rate must not exceed 3% above the Bank of England base rate, and this must be stated in your tenancy agreement. We always try to work with tenants before escalating arrears.
We take complaints seriously and aim to resolve any issues directly. If you’re not satisfied with our response, you can escalate your complaint to The Property Ombudsman (TPO), a free and independent dispute resolution service. Full details of our complaints procedure are available on request.
Under current legislation, landlords and agents can request up to one month’s rent once the tenancy agreement is signed and before commencement. From 1 May 2026, the Renters’ Rights Act will prohibit requiring rent in advance before a tenancy is entered into.
